Booking Policies & Terms
Effective Date: June 2026
By booking any service with Natural Culture Studios, the client acknowledges and agrees to the following terms and conditions.
1. Agency Booking Disclosure
Natural Culture Studios is a creative agency comprised of local and international photographers, videographers, content creators, editors, and production professionals.
By booking with Natural Culture Studios, clients are hiring a professional creative agency and not exclusively Roy Robinson unless explicitly stated and confirmed in writing.
Natural Culture Studios reserves the right to assign any verified team member based on availability, project requirements, location, and scheduling needs. Assigned creatives will be disclosed prior to the session whenever possible.
2. Direct Bookings with Roy Robinson
Clients wishing to work directly with Roy Robinson in Cartagena, Colombia must:
• Book a minimum of four (4) weeks in advance
• Pay the project balance in full prior to the session
• Meet the minimum project investment requirements
Direct bookings with Roy Robinson generally begin at $1,500 USD and may range from $1,500–$2,500+ USD depending on project scope.
Availability is limited and not guaranteed.
3. Deposits & Payments
A non-refundable retainer/deposit is required to secure all bookings.
Dates and times are not reserved until payment has been received.
The remaining balance must be paid according to the payment schedule outlined in the booking confirmation.
Failure to complete payment may result in cancellation of services and forfeiture of any deposits previously paid.
4. Payment Required Before Delivery
All balances must be paid in full before:
• Edited photos are delivered
• Video content is delivered
• Galleries are unlocked
• Download links are released
• RAW files are transferred
• Final deliverables are provided
Natural Culture Studios reserves the right to withhold all content until full payment has been received.
5. RAW Files & Unedited Content
RAW files, unedited photographs, unedited videos, behind-the-scenes footage, and project source files are not included unless specifically purchased.
RAW files remain the property of Natural Culture Studios until payment has been received in full.
RAW content purchases do not include editing services.
6. Session Rescheduling
Clients may request to reschedule a session with reasonable notice.
Rescheduling requests are subject to availability.
Natural Culture Studios reserves the right to charge additional fees for repeated rescheduling requests.
7. Client Late Arrival Policy
Clients arriving late may have their session shortened accordingly.
Natural Culture Studios is not responsible for lost shooting time due to client tardiness.
Sessions ending later than scheduled due to client delays may incur additional fees.
8. No-Show Policy
Failure to appear for a scheduled session without prior communication shall be considered a no-show.
No-shows forfeit all deposits and payments made.
9. Weather & Force Majeure
Outdoor sessions may be rescheduled due to severe weather, unsafe conditions, government restrictions, transportation disruptions, natural disasters, or circumstances beyond our control.
Natural Culture Studios is not responsible for losses resulting from such events.
10. Delivery Timeline
Standard delivery timelines are:
• Photography: 7–10 business days
• Video projects: Varies by scope
• Commercial projects: Based on contract terms
Rush delivery may be available for an additional fee.
11. Creative Control
Photography and videography are artistic services.
Clients acknowledge that composition, posing guidance, lighting choices, editing styles, image selection, storytelling approaches, and creative decisions remain at the discretion of Natural Culture Studios and the assigned creative professional.
12. Revision Policy
One reasonable round of revision requests may be included depending on the service purchased.
Additional revisions may be billed separately.
Extensive editing changes beyond the original scope of work may require additional fees.
13. Refund Policy
Due to the nature of creative services, refunds are not provided for completed sessions.
Refund requests based on personal preferences, facial expressions, poses, weather conditions, wardrobe choices, location conditions, artistic style, or subjective opinions regarding the content are not grounds for a refund.
If a service has not yet been performed, refund eligibility will be evaluated based on the specific booking and cancellation circumstances.
14. Client Cooperation
Natural Culture Studios is not responsible for poor results caused by:
• Client lateness
• Lack of participation
• Failure to follow direction
• Inappropriate attire
• Venue restrictions
• Third-party interference
• Unapproved location access
• Weather conditions
15. Commercial Usage
Commercial, advertising, brand, tourism, hospitality, corporate, and promotional usage may require additional licensing fees depending on the intended use.
Commercial rights are not automatically included unless specified in writing.
16. Portfolio & Marketing Usage
Natural Culture Studios reserves the right to use photographs, videos, and project content for:
• Portfolio display
• Website content
• Social media
• Advertising
• Marketing materials
• Educational and promotional purposes
Clients wishing to keep content private must request a written media release restriction before the session.
17. Limitation of Liability
Natural Culture Studios' liability shall not exceed the total amount paid by the client for the specific service booked.
18. Agreement
By submitting payment, signing an agreement, booking a session, or participating in a service provided by Natural Culture Studios, the client acknowledges that they have read, understood, and agreed to these Booking Policies & Terms.
